User Account Information

User Account Information includes fields that are associated with each user and fields that are associated with the user extension assignment. User account fields that are tied to the user (common for all of the user’s extensions) include:

DISPLAY NAME
LAST NAME
FIRST NAME
EMPLOYEE ID
TITLE
DEPARTMENT
MANAGER
LANGUAGE
LISTED SITE
INSIDE LOCATION
EMAIL
LISTED PHONE
LISTED FAX
MOBILE

These parameters can be imported from a spreadsheet (CSV format) or LDAP database via User Import and can also be manually configured for unassigned users. EMPLOYEE ID can only be set via USER IMPORT; this field is used as a unique index to external data to synchronize data import.

Users can be assigned to multiple extension numbers. In this case, these fields are common to each of their assigned extensions; fields edited on one extension will be reflected on all other extensions assigned to that user.

All other user configuration parameters are unique to each extension and can only be configured after an extension has been assigned to the user. These fields are not visible for unassigned users. Emergency Alerting, Voicemail, Call Recording, and Fax Server settings are configured on an extension-by-extension basis.

To configure Account Information

  1. After a user extension has been selected, select the ACCOUNT INFORMATION tab.
  2. Enter user information as needed in the various fields.
  3. Click Upload File button to upload the user's picture from your computer or network to the UC server. The image file can be in JPEG, GIF, or PNG format.
  4. DID NUMBER is assigned in the DIAL PLAN - INBOUND DID NUMBER MAPPING panel. If a number is assigned, you can jump to that screen by clicking the DID number.
  5. EXTENSION is assigned in the DIAL PLAN - DIGIT MAP panel. You can jump to that screen by clicking the extension number.
  6. If DIAL BY NAME is selected, this user extension will be included in the Auto Attendant dial-by-name directory if a dial-by-name menu option is selected.
  7. USER LOGIN PASSWORD and LOGIN NAME are credentials for User Portal login. Extension number can also be used for login name.
  8. SIP PASSWORD is required for SIP service registration of any device (e.g. phone) used on this extension. After a configured device is registered, updates to the SIP password can be downloaded automatically to the phone.

To configure Emergency Alerting

The Emergency Alerting section contains information that is used for emergency call alerting. Refer to Emergency Alerting for more information on this section.

  1. Select a SITE NAME and ERL ZONE from the drop-down list. These options must first be configured in EMERGENCY ALERTING before they are selectable on the user Account Information screen.
  2. The two options below ERL ZONE relate to the emergency alerting PC pop-up program. The labels associated with these fields are configured in EMERGENCY ALERTING – PC POPUP TAB LABELS. For each user-related pop-up tab, select BROWSE to choose and upload a PDF file. PDF files are automatically sized to fit the pop-up display. For best results, use the following formats:
    • Tab 3 (CAMPUS MAP): 8.5 x 11” landscape orientation
    • Tab 4 (INSIDE MAP): 8.5 x 11” landscape orientation
  3. You can also enter custom DIRECTIONS and ALERT MESSAGES specific to each user that will be displayed with the emergency call alert.

To configure Voicemail

  1. Enter an EMAIL ADDRESS to enable email notification whenever a voicemail message is recorded. If this field is blank, no email will be sent.
  2. If ATTACH VOICEMAIL FILE is selected, the voicemail recording (mp3 format) will be attached to the email notification.
  3. If SAVE COPY ON SERVER is selected, the voicemail recording will be retained on the server until it is deleted through the User Portal Call Activity Log or via voicemail access from a phone. If this option is not enabled, the voicemail file will be deleted after the email is sent.
  4. Enter a number for PERSONAL OPERATOR, if needed. A caller will be transferred to this number if ‘0’ is dialed after reaching the user’s voicemail. If this field is left blank, ‘0’ will transfer to the system Operator (specified in the Digit Map).
  5. ALT PASSWORD provides an alternate password to access the user’s voicemail. A primary password is set by the user through the voicemail system. You can use this alternate password to access the user voicemail box if the primary password is lost.
  6. STORAGE ALLOCATED sets a recording storage limit (in MB) for each user’s voicemail. 1 MB corresponds to approximately 1 minute of recording capacity. When this limit is reached, new voicemail callers are not allowed to leave messages. The amount of storage currently used is displayed below the STORAGE ALLOCATED field.

To configure Call Recording

  1. Enter an EMAIL ADDRESS to enable email notification whenever a call is recorded. If this field is blank, no email will be sent.
  2. If ATTACH RECORDING FILE is selected, the call recording (mp3 format) will be attached to the email notification.
  3. If SAVE COPY ON SERVER is selected, the call recording will be retained on the server until it is deleted through the User Portal Call Activity Log. If this option is not enabled, the call recording file will be deleted after the email is sent.
  4. Select a RECORD option to determine what types of calls are recorded. If DISABLED is selected, calls will not be recorded.
  5. STORAGE ALLOCATED sets a recording storage limit (in MB) for each user’s call recordings. When this limit is exceeded, the oldest call recording files are replaced by new call recordings. The amount of storage currently used is displayed below the STORAGE ALLOCATED field.

To configure Fax Server

This section is only enabled if a Fax DID number has been assigned to the user extension in DIAL PLAN - INBOUND DID NUMBER MAPPING. The assigned DID number is displayed next to FAX DID.

  1. Enter an EMAIL ADDRESS to enable email notification whenever a fax is received. If this field is blank, no email will be sent.
  2. If ATTACH FAX is selected, the fax image file (PDF format) will be attached to the email notification.
  3. If SAVE COPY ON SERVER is selected, the fax file will be retained on the server until it is deleted through the User Portal Call Activity Log. If this option is not enabled, the fax file will be deleted after the email is sent.
  4. STORAGE ALLOCATED sets a recording storage limit (in MB) for each user’s faxes. When this limit is exceeded, no new faxes will be received. The amount of storage currently used is displayed below the STORAGE ALLOCATED field.
